Role Overview
The Payroll Operations Manager is responsible for leading the day-to-day delivery of managed payroll services (MPS) for international clients. This role ensures accurate, compliant, and timely payroll processing, manages client relationships, and drives continuous improvement in payroll operations. The Payroll Operations Manager acts as the main escalation point for payroll issues, collaborates closely with Payroll Country Leads, and supports the professional development of the payroll team.
This role can be based in Malaga/Granada - Spain or Katowice - Poland.
Key Responsibilities
- Lead and manage the payroll operations team, ensuring accurate and timely payroll processing in line with contractual scope and SLAs.
- Maintain and strengthen client relationships, acting as the primary point of contact for payroll service delivery.
- Prepare and present payroll performance reports and KPIs in monthly client review meetings.
- Monitor and manage service level credits, ensuring SLA compliance and addressing deviations.
- Act as an escalation point for unresolved payroll issues, ensuring effective resolution in line with global standards.
- Collaborate with the Global Process Owners, Payroll Country Leads and other stakeholders to identify and implement process improvements.
- Oversee staffing, recruitment, and onboarding for the payroll operations team.
- Conduct regular team evaluations, provide feedback, and support ongoing professional development.
- Support the development and delivery of training materials and programs for payroll staff.
- Foster a positive, collaborative, and high-performance team.
- Develop a mindset of continuous improvement within the team.
- Ensure compliance with global and local payroll regulations and standards.
- Coordinate team-impacting projects to achieve defined results.
Qualifications & Experience
- 5+ years of experience in payroll operations, preferably in an international or MPS/BPO environment.
- Strong understanding of payroll processes, compliance, and regulations (global payroll standards).
- Experience in managing client relationships and delivering payroll services to multinational clients.
- Familiarity with SLAs, KPI measurement, and reporting.
- Demonstrated leadership skills, including team development and performance management.
- Excellent communication and interpersonal skills.
- Strong problem-solving and decision-making abilities, including adaptability in dynamic environment.
- Experience in Change Management, planning, communication, and implementation of organizational changes.
- Strong project coordination and stakeholder engagement abilities.
- Experience with SAP Payroll, SuccessFactors, or similar platforms is a plus.
- Payroll certifications (CPP, CPS, CPM) are an advantage.
- Fluent in English; additional languages are a plus.
